Reimagining the visitor journey:

How RX Is making every moment count

Pollutec: A hub for inspiration and recharge

Trade fairs are vibrant spaces where people connect, industries evolve, and ideas collide  ̶ but they can also be overwhelming. At Pollutec 2025, Europe’s leading environmental and energy solutions event, we introduced the Visitor Hub to help attendees navigate the show floor with clarity and comfort.

Located in the heart of the Place des Lumières, the Hub offered more than just practical amenities, explained Event Director Anne Manuèle Hébert. “Visitors could sip a ‘solidarity coffee’ at Café Pollutec, browse climate-focused reads at the bookshop, or immerse themselves in the ‘cosmorama experience’ that was Down to Earth, an expoof photographs and maps which help us to understand the impacts of human activities on our planet. In addition, guided show floor tours connected attendees directly with innovators, while Work & Chill zones provided plush seating, charging stations, and a quiet space to regroup.”

If you needed help or local tips, the Concierge team and Lyon Tourist Office Kiosk were on hand with practical support and insider recommendations. Whether networking, learning, or unwinding, the Hub made every moment at Pollutec more meaningful.

Smart registration – for a smoother, more curated visit

Registration is often the first impression of an event  ̶  and with smart registration, RX is making it seamless. Our proprietary system allows attendees to print badges at home, skip queues, and walk straight into the show – meaning less stress, more time in the event, and a smoother start.

But RX registration goes beyond convenience. It recommends relevant exhibitors and sessions, helping visitors discover what matters most to them. This personalised approach turns a busy show floor into a curated experience.

“We believe so strongly in its benefits that we took on a bold challenge,” said Patrick Mawhood, Senior Director, Product Management. “We introduced RX registration across all 52 of our Japanese exhibitions in 2023/4  ̶  a market where pre-registration was virtually unheard of. The transformation was remarkable: over 1.2 million attendees pre-registered, leading to faster entry, smarter navigation, and deeper engagement.”

This wasn’t just a tech upgrade  ̶  it was a cultural shift. By working closely with our global teams and adapting to local needs, we’ve set a new standard for event registration in Japan and beyond.

EquipHotel Paris: Seamless from arrival to experience

Behind every successful RX event is a dedicated operations team  ̶  experts who ensure everything runs smoothly from build-up to breakdown. At EquipHotel Paris 2024, Europe’s leading hospitality trade show, the ops team reimagined the visitor journey to make it more intuitive and enjoyable.

One standout innovation was a new hall entrance with direct access from the parking area. This simple change eliminated shuttle buses and made arrival easier for those driving in. Improved signage and a welcoming concierge team created a warm, guided entry for all.

To personalise the experience further, the team launched the First Timer and VIP Plan, featuring tailored email communications, exclusive registration zones, and curated hotel tours around Paris. At RX, operations isn’t just logistics  ̶  it’s about making every visitor feel seen, supported, and special.

MCM Comic Con: Inclusion at the heart of the experience

Inclusion is a core value at RX, and nowhere is it more visible than at MCM Comic Con in London and Birmingham. Through thoughtful design and strategic partnerships, we’re ensuring that every fan can take part in the magic.

Thanks to our collaboration with TranslateAble, many panels and screenings now feature British Sign Language (BSL) interpreters, making content accessible to deaf attendees and those with hearing loss.

But accessibility goes further. MCM offers lo-fi relaxation spaces for anyone feeling overwhelmed. The Reset Room, run by mental health charity Gaming The Mind, provides noise-cancelling headphones, calming activities, and friendly chats with professionals who understand geek culture.

Additional support includes carer passes, dedicated entry queues, and reserved seating for those with additional needs. Programming also celebrates all voices, with panels spotlighting LGBTQ+, neurodiverse, and underrepresented communities. Such initiatives, present across ReedPop events, have earned enthusiastic praise, setting a new benchmark for inclusivity in fan conventions.

Colleqt QR: Capturing what matters, sustainably

Trade shows are packed with inspiration  ̶  but keeping track of everything can be a challenge. That’s why RX created Colleqt QR, a smart, sustainable solution that lets visitors collect exhibitor and product information digitally, at their own pace.

Instead of tote bags full of brochures and business cards, attendees simply scan Colleqt QR codes at exhibitor booths using their mobile phones. Instantly, they receive access to product details and contact information  ̶  all saved in one place.

“At RX, we saw a clear opportunity to improve how visitors engage with exhibitors,” said Wilson Ng, Senior Product Platform Manager. “Colleqt QR acts like a personal event companion, replacing paper clutter with a clean, digital experience that’s easy to share and follow up on.”

At the end of the day, attendees receive a personalised email summarising everything they scanned  ̶  complete with clickable links for quick re-engagement. And because Colleqt QR is a progressive web app, it works offline, ensuring a smooth experience even in busy venues with patchy signals!

ReedPop: Personalised apps for passionate fans

At ReedPop, we know that every fan’s journey is unique. That’s why we’ve developed personalised event apps for shows like NYCC, C2E2, PAX, and Star Wars Celebration  ̶  tools that help attendees navigate, discover, and connect with what they love most.

Fans start by selecting their interests  ̶  anime, comics, gaming, and more. The app then builds a customised interest screen with recommended panels, exhibitor highlights, and exclusive offers. Interactive maps make it easy to explore the venue, find exhibitors, and get directions to the next session.

“Our goal is to help fans spend less time searching and more time enjoying,” says Milton Montaque, Senior Director of Innovation and Development for RX Americas.

Exhibitors benefit too. New reporting tools help ReedPop’s teams track content uploads and encourage fuller profiles, making it easier for fans to discover them through search and maps.

At NYCC 2025, we introduced offline map access and in-app merchandise purchases for on-site pickup  ̶  no signal required, no queues necessary. With record-breaking attendance of over 250,000, more fans than ever were able to navigate the show with ease and focus on their personal passions.
