Creating magic through inclusion

At RX, we're not just talking the talk; we're walking the walk with a robust code of ethics and a dynamic Inclusion & Diversity policy. We're passionately backing numerous programs and initiatives across our organization. Since 2020, we've committed to making tangible strides in global I&D growth. Our Employee Resource Groups (ERGs) are open to all and fuel a creative and innovative atmosphere that enhances networking, communication, personal growth, and inclusion throughout the entire company.

RX’s ‘Guide to Inclusive Events’, published earlier this year, aims to make all our attendees and event participants feel welcome, seen and safe. We reveal how it is inspiring our teams to create more inclusive and accessible experiences; shine a spotlight on the pioneering work of our PAX Aus team; and talk to our Head of Inclusion & Diversity Ray Rhodes about how RX is taking our learnings to the wider event community.

In 2021 RX set out on a journey to build a more inclusive culture, rich in diversity, where all our people can thrive in a safe, positive, and supportive working environment. We’ve since been recognised by Comparably, the employee advocacy tool, for ‘Best Company for Diversity’, with an overall culture score rating of A+. Now, as we continue our internal journey to become a more inclusive organisation (with much still to do), we’ve turned our attention outwards, to make our events more inclusive and accessible too.

“As a global event organiser, we have a powerful platform to inspire change across the industries we serve” explained Head of I&D, Ray Rhodes. “With the launch of the ‘Guide to Inclusive Events at RX’ our priority is to ensure that our event cultures mirror our business culture, where different perspectives are sought out and celebrated, and everyone feels safe and empowered to bring their authentic selves to our events.”

The guide offers our teams actions and inspiration on how to make their events welcoming and magical experiences for all.  It looks at inclusion and accessibility at every stage of an event – before, during and after; provides a ‘getting started to-do list’; includes a speaker/panel preparation check list; and is peppered with brilliant examples of I&D initiatives at RX events which are ahead of the curve.

Many of the actions can be implemented at minimal or no additional cost, in turn creating tremendous, tangible value for attendees. They include carrying a prominent DEI welcome statement on your home page; ensuring photographers/videographers are prepped to capture a diverse representation of participants; making sure events are accessible to people with disabilities and encouraging exhibitors to do the same for their stands; providing a quiet room for anyone needing a space to reset from overstimulation; inviting a local cultural group to participate in opening ceremonies; ensuring balanced representation in education and special keynote speaker line-ups; and much more.

Importantly, said Ray, “the guide doesn’t just look at ‘what’ actions we should be taking to make our events more inclusive, but ‘why’ each action is important, and provides safeguards to put in place to ensure high-quality execution.  It also asks, ‘who has a seat at the table?’ because representation of people from different backgrounds is critical when you begin planning your event content if you are serious about creating authentically meaningful experiences for diverse audiences.”

Every RX event is at a different place in its journey and far from being a rigid set of rules, the guide aims to inspire a more inclusive mindset by offering ideas and inspiration from some of our most enlightened event teams. So, what does a truly inclusive event look like?

Celebrating diversity at PAX Aus

PAX Aus is Australia’s leading celebration of gaming and gaming culture, and one of RX’s most inclusive brands. Under the guidance of Exhibition Director Lauren Luciani, not only have the team set a very high standard for their colleagues to aspire to, but they are leading the way on I&D at gaming industry events.

Before attending PAX Aus, gamers are invited to watch the ‘How to PAX’ video, to help ease any uncertainty or anxiety around navigating the event. It gives tips on where to go, how to access key feature areas, and offers general advice on how to have a great show experience.

PAX Aus honours and acknowledges the traditional custodians of the land by presenting a ‘Welcome to Country’ ceremony with First Nation Elders. This takes place on the first day, to open the event, celebrating the rich cultural heritage of Australia. Within the event, Kirrip Wilam, meaning "Friend Home" in Woi Wurrung, is a community space where attendees can engage with and learn from Indigenous perspectives in gaming.

‘PAX Together’ celebrates diversity, underrepresented groups, and stigmatised topics both at PAX and in the gaming community at-large.  This area of the event includes an intersection of content across a lounge, theatre, LGBTQIA+ focused community booths, and consciously unbiased initiatives such as pronoun stickers, gender neutral bathrooms, and dedicated merchandise, all within a safe space for the community.  The feedback from the PAX community is overwhelmingly positive and highlights the importance of this space, with one attendee commenting, "spaces like PAX Together aren't just nice to have and they aren't just affirming for folks  ̶  for some they are absolutely lifesaving.”

For people with disabilities, medical badges are available granting access to express queues and accessible seating at panels. Passes allow a carer to attend for free when accompanying a ticketed attendee requiring their care. Support animals are permitted in all public areas of the venue to assist those who need them. For attendees with hearing aids, PAX offers programmed receivers that work with T Switch-enabled hearing aids. And all panels and content in the PAX Together Theatre have AI captioning which takes all audio and converts it into text in real time, delivered to attendees via their mobile phones.

Other DEI initiatives include clear signage for accessibility; an AFK (Away from keyboard) Room which provides a low-sensory, relaxing space where attendees can recharge and regain their calm; complimentary pram parking next to the MCEC service desk (prams are not permitted in the Expo Hall for safety reasons); and a commitment to ensure that all content panels have a diverse representation.

“I&D initiatives are a core pillar for PAX Aus ensuring that, where possible, we cater to gamers of all ages, genders, backgrounds, and accessibility needs,” affirmed Lauren. “By authentically weaving inclusion and accessibility into our messaging, content and ethos, it sends the message that gaming is for everyone while inviting those who feel marginalised to come into a safe space.”

An inclusive industry approach

‘The Guide to Inclusive Events at RX’ builds on a solid foundation of Inclusion and Diversity put in place at RX over the past three years which includes Unconscious Bias Awareness training for all leaders; Inclusive Leadership training for senior and HR leaders; Psychological Safety assessments and workshops; launching Employee Resource Groups (ERGs) in local markets; and the creation of Global Diversity Committees focused on supporting key dimensions of diversity - race and ethnicity, gender, LGBTQ+, generations, and disability. Each country where we operate is represented on the RX Global Inclusion Council by an I&D Champion, who provides local cultural context to all our I&D programmes.

RX’s I&D strategy has been built from the ground-up, although we were lucky to have access to some resources through our parent company RELX, and a truly inspirational I&D leader in Ray Rhodes, whose openness in sharing his own experiences of homophobia has helped to create a safe space in which all RXers are empowered to speak up.

Ray is now committed to sharing our I&D journey to help build a more inclusive and diverse events industry where everyone is made to feel welcome. He has become a leading I&D advocate for the events industry, sitting on DEI working groups at SISO and UFI, and contributing to I&D panels.

During the 2024 SISO Leadership Conference in Philadelphia, Ray shared insights into RX’s Guide to Inclusive Events, currently only available within RX but soon to be published externally for wider industry use. “People are really interested in seeing it and getting their hands on it, particularly the many small organisers who simply don’t have any dedicated DEI resource or expertise in their ranks” he revealed. “They are looking to those of us who do to guide them, and that’s the mission I’m on right now. Starting out on a DEI journey can feel like standing in front of a mountain but taking it in small steps helps give you  a clearer perspective. That’s what we had to do at RX, and it’s what I want to help other organisations with.”

Ultimately, said Ray, “DEI is not about who is doing more or who is doing less, it’s about us as an industry, taking care of ourselves, and our customers, and looking to the future. We want to sustain this incredible industry and that’s what I see our mission is.”

In November, Ray is attending the UFI Global Congress in Cologne (20-23 November 2024), where he will be meeting with event organisers and offer tips and guidance on how to build an infrastructure and strategic framework for DEI. An external version of RX’s Guide to Inclusive Events is currently in production and will be available in early 2025.

Attracting and supporting Black event talent

In April 2023, we announced an exciting partnership with BYP (Black Young Professionals) Network! This amazing business community is dedicated to advancing the careers of Black professionals.

Let's discover what this partnership means for Black professionals in the events industry and hear from our inspiring RXers who have supported and attended recent BYP events.

Our partnership with BYP is the latest demonstration of our on-going commitment to increase the racial and ethnic diversity of our workforce over time, building on two years of focused Inclusion and Diversity work at RX.

BYP Network was created in 2016 by GB athlete and BSc Economics graduate Kike Oniwinde Agora to connect Black professionals and students from all over the world for role model visibility, career opportunities and business support. While Kike was afforded many opportunities during the start of her career journey, she became aware that there wasn’t much Black representation outside of sports and entertainment. She was motivated to build an empowering platform that works with corporate partners to diversify talent acquisition and drive positive change across all industries.

Today, BYP facilitates networking, mentoring, up-skilling, and employment for 150,000+ community members in over 20 countries, through 1,000+ organizations, with focus areas including the UK, USA, and across Africa. Their members comprise a full range of experience levels, from graduates and those seeking apprenticeships, to junior, mid, and senior level professionals.

BYP’s members have interests across a multitude of industries and roles, and a large proportion of them are looking for a new job or a career change" explained Ray Rhodes, RX’s Head of Inclusion & Diversity. "Our partnership means that we will be able to promote the events industry and our open job positions directly on the BYP website. We can also interact with members via BYP newsletters and a regular program of online and in-person events throughout the year. In turn, BYP members are invited to view our company profile to learn more about RX and the events industry. They can also access our job postings, giving us exposure to Black talent from across the globe, increasing Black and minoritized ethnic representation at RX.”

Opportunities in events

Raising awareness of the career opportunities available within RX and across the events industry is the first step to attracting more Black talent. Which is why, on 22 September 2023, RX joined other leading corporations, including KPMG, Bank of America, UBS and Unilever, in sponsoring the annual BYP Careers Fest, a free to attend event taking place at the Business Design Centre in London. Combining live talks, CV workshops, and networking sessions with hiring managers, along with company booths, the Careers Fest plays a crucial role in supporting and empowering Black students and professionals, addressing the unique challenges they face in today’s competitive job market.

Esther Asante, Content and Community Executive for in-cosmetic Global, was among several RXers on our stand to welcome attendees to the wonderful world of events. “I was immediately interested in taking part as I not only take pride in my role here at RX but also feel it is important to help encourage diversity whenever possible” said Esther, who joined RX in 2022. “I was able to network and inform others about RX and what we do. It was wonderful to be able to discuss my day-to-day role whilst also raising awareness about the type of company we are and our commitment to creating a diverse working environment.”

Careers Fest was an “amazing” experience, agreed UK HR Director, Kevin O’Donoghue. “We met many highly engaged and interested people from the Black community and I was hugely excited by the talent, energy, and enthusiasm throughout the event. We had over 100 leads that we have begun to follow up on, either for specific vacancies, or people interested in roles we may have coming up in the future.”

“Be prepared to pivot”

Diversity and inclusion are critical to unlocking the full potential of businesses and society as a whole. However Black individuals continue to encounter significant barriers in their career advancement. According to Fortune, only six Black professionals hold CEO positions at Fortune 500 companies, and only four percent of senior leaders at large companies are Black, highlighting the need for targeted support and opportunities.

As a Silver Sponsor at this year’s annual BYP London Leadership Conference on 5 October, RX presented a panel session entitled: Roadblocks, Twists and Turns – Designing and Navigating your Professional Pathway. During the informative, engaging and fun session, chaired by RX Chief Digital Officer Gaby Appleton, three senior RX leaders shared their stories, offering practical strategies and insights into how they have navigated their professional journeys.

Des Massicott, Chief Information Security Officer, Jeffrey Asare-Boamah, Global Director of Product Analytics, and Milton Montaque, Senior Director of Innovation and Development all agreed that the pathway to your dream role is rarely direct, and that you should be prepared to embrace change, seek out opportunities for professional growth, and be prepared to take a risk and pivot to something new if things are not challenging you.

Reflecting on his participation Jeffrey Asare-Boamah said: “The opportunity to share my journey to becoming the person I am now, and the career position that I have attained, was important to me. I recognised that the audience was likely to be full of people who have had similar early pathways as me and I hoped my story would resonate and inspire somebody in the audience.”

For Des Massicott, “being surrounded by the younger generation of Black professionals who wanted to connect and hear more of my insights was truly humbling. I took away many valuable insights and experiences from the event including feeling inspired and empowered by the positive and supportive atmosphere of the conference. I also expanded my own network and connected with potential mentees, collaborators and employers who can support my community’s growth and opportunities.”

Mentorship and more

As members of BYP, RXers are also able to join a community of thousands of mentors and allies who give back, enabling students and other professionals to contact them for guidance and advice.

“Later this year we will be launching our mentorship program with BYP, whereby BYP will find mentees from their network, five from the US and five from the UK, and we will match them with RX mentors for a 6-month mentorship program,” said Ray Rhodes.

RX is also exploring opportunities to invite BYP Network to our events to help expand their network in the US and South Africa, and our US employees will be invited to attend the NYC Leadership Summit in the Spring of 2024.

Supporting Black talent in NYC

We were excited to partner with Black Young Professionals for the second annual BYP Network Leadership Summit in New York on May 10th. From sharing career advice and success stories on stage to connecting with potential candidates at our booth, it was a fantastic day of learning, inspiration, and talent discovery.

RX’s sponsorship of the 2024 NYC BYP Leadership Summit builds on our partnership with BYP Network announced in April 2023, and follows our support for the BYP Careers Fest and London Leadership Conference in the UK last year.

Founded in 2016 by visionary British-Nigerian businesswoman Kike Oniwinde Agoro, BYP Network is on a mission to advance the careers of Black professionals around the world. Under Kike's leadership, the networking, mentorship, and advocacy platform has grown to over 150,000 members, has 20+ chapters across the world, and hosts 70+ events a year, partnering with major brands on all things DEI.

The 2024 NYC Summit, themed 'Intentional Steps', shared wisdom from Black leaders, visionaries and corporate influencers on how Black professionals can purposefully navigate their careers, mental wellness, and social responsibility.

Among the impressive lineup of speakers and panellists were two shining examples of RX Black talent – Indiya Okam, Group Vice President of Sales, who is responsible for driving sales and revenue transformation in the US; and Monalisa DePina, Account Executive for the JCK Las Vegas jewelry show, who was recently nominated for a ‘Behind the Shine Award’ from the Black in Jewelry Coalition for her contributions to diversity and inclusion in the jewelry industry.

Indiya joined a panel on personal branding, facilitated by Erica Knox of BET Media Group, highlighting the power of authenticity in carving out your niche. Monalisa participated in a wellness panel led by Dee McDougal, sharing tips on emotional well-being, peak performance, and resilience in the professional world.

For RX, the BYP Leadership Conference was also a great chance to connect with Black talent, highlight career opportunities in the events industry, and showcase RX's commitment to creating a diverse work environment.

Throughout the day, our RX team was busy chatting with attendees at our booth, sharing insights into event careers and current vacancies. Attendees could easily collect information about RX and current job vacancies by scanning QR codes on their phones, with their details instantly sent to our team.

Reflecting on her experience, Monalisa said: “The summit was well planned, and the platform provided meaningful conversations about important topics for attendees. It was inspiring to hear from so many talented people who shared their insights and gave advice about navigating your professional life. I feel proud that RX wholeheartedly supports BYP Network and their mission of creating opportunities for underrepresented communities and providing a place for professional growth. I walked away with a renewed commitment to supporting initiatives that promote diversity and inclusion in the workplace.”

Ray Rhodes, RX Head of Inclusion and Diversity, added: “Fifteen RX team members participated as panellists, booth staff, and delegates to support what was a truly inspirational and educational event for all concerned. We met some incredibly talented people and have numerous leads to follow up on for specific vacancies or future opportunities.”

Making time for inclusion and diversity at RX

Have you heard of our Employee Resource Groups (ERGs)? These are like-minded squads of RX volunteers teaming together to shake things up for the greater good. So far we've got 13 awesome groups covering race, gender, LGBTQIA+, disability and generational interests, and the best part is every RXer can apply for up to two days paid leave to support their interest group. We caught up with some of our fantastic volunteers to get the scoop on how they make the most of their ERG hours and why being part the inclusion and diversity scene at RX is truly important.

‘All-In’ for inclusion in Mexico

While some RX Employee Resource Groups focus on a particular dimension of diversity, others advocate for respect and inclusion for all, making sure everyone has the support they need to thrive.

Two years ago, when RX Mexico decided to establish its first ERG, they agreed that an ‘All-In’ group would be the best solution, allowing them to address a wide range of challenges and opportunities around diversity and inclusion.

In April, a group of RXers used their volunteer hours to support an association called ‘Rescuing our Children’ which provides after-school care for children who might otherwise be on the streets. As well as enjoying fun and games with the children, the volunteers took the opportunity to talk to them about school and the importance of studying, as well as sharing inspirational stories about their own jobs and careers.

Head of Procurement, Mariana Puebla used her time to help out at a transgender house operated by the Casa de las Muñecas Foundation which provides shelter and support for people in vulnerable situations. “The hostel has designated spaces for personal care and hygiene, physical exercise, study, and communal eating, as well as providing sessions with psychologists and AA” says Mariana, who has also collected groceries to donate to the hostel.

In October, with the support of RX, the ERG presented its first ‘Cause Pavilion’ at Expo Beauty Show 2023. The pavilion showcased three association partners - Fundación ADIS, X TI EMPREDEMOS, and México Sonríe - which are committed to helping people with disabilities, and patients undergoing cancer treatment.

During the event, the ‘Trenzatón’ was also coordinated, a collection of hair braids used to create wigs for children and women undergoing cancer treatment.  Thanks to the generous support of beauty professionals, who provided their hair cutting services free of charge, 26 braids were collected onsite over the three days of the event, enough to create two complete wigs. Fernanda Yerena and Ana Laura Serrano, co-chairs of the All-in ERG, were among the RXers using their volunteer hours to support the event, some of whom joined the cause and received hair donation certificates for their contribution.

Reflecting on the Cause Pavilion, Fernanda said: “With these actions, our ERG aims to achieve a significant social impact, leveraging the industry's strong event turnout to reach diverse audiences and contribute to positive changes in Mexico. We aim to involve each of our colleagues at RX in making our events more inclusive and diverse across all industries.”

Mentoring women in the local community

RX’s Women Connected ERG in the US is focused on gender equity in the workplace and lifting the voices of women internally and through our events, brands, and industries. This ERG continues to partner with a local non-profit, the Women’s Mentoring Network, whose mission is to provide career, educational, and personal resources that lead to the economic empowerment of low-income women and their families.

In September, Women’s Mentoring Network held a Career Clinic for their members and invited RXUS representatives to participate. MJ McGrath, Marketing Director, Jacy Barker, Senior Director Marketing Services, and Alexia Malangone, Senior Marketing Associate, used their ERG hours to work with Women’s Mentoring Network members to support their job searches.

“We reviewed their resumes and gave them advice on how to navigate the challenges they were facing with job applications, interviews, and the industries they are interested in pursuing,” said Jacy. “It was an amazing opportunity to give back professionally, learn more about their journeys and how we can be of support. We left feeling very inspired by this amazing organization and all that they do to support the empowerment of women and their families in our area. This was the first Career Clinic that RXUS participated in, and we are looking forward to expanding this opportunity to support on an ongoing basis.”

Earlier that month, the Women’s Mentoring Network also honored RX and Women Connected as a sponsor for their Celebrating Mentors Event – a fundraiser held at the Indian Harbor Yacht Club in Greenwich, CT to honor longtime and new sponsors. It was an evening filled with recognition along with hearing stories from guest speakers on their backgrounds, journeys to transformative lives and careers, and more.

I is for Inclusive in the RX NIMBLE culture code, because we believe that everyone should feel safe and free to be themselves in RX, our events and our communities. Meet six award-winning RXers who inspire us with their ability to make each and every customer and colleague feel welcome and valued.

Iara Muniz, Customer Relationship Analyst, Brazil

If you could personify the word ‘inclusion’ it would be Iara; and as a customer relationship analyst she couldn’t be in a better suited role. She is committed to giving each and every one of our customers the best possible experience at our events, anticipating problems before they happen, and resolving any issues with a smile.

Iara is an empathetic team player who takes time to listen, and who always respects the opinion of others so that everyone can be heard and respected.  Should anyone feel excluded or downhearted, she is always there with a word of support and encouragement.

Iara is appreciated for her ability to bring people together. Her natural inclusivity sets a great example to her colleagues, helping to build strong relationships between our teams and clients. In the office too, she is invariably the person organising the coffees, the welcome reception or the birthday surprise – complete with her amazing chocolate cake!

Adam Cartledge, Head of Sales Talent, Global

As Executive Sponsor of RX’s Global Pride Committee, Adam oversees RX programmes designed to drive LGBTQ+ equity, both internally (through an inclusive culture for our colleagues) and externally at our events, and in the communities in which we live and operate.

In his sales leadership role Adam also works hard to create a culture of psychological safety across our global sales teams, embracing and encouraging diversity of people, ideas and opinions. He also looks for opportunities to increase diversity, for example in recruitment and career development.

For Adam, being an inclusive employer means letting your people bring the best version of themselves to work every day. “For our LGBTQ+ employees, working at RX means we see you, we want you to be a part of this business because of who you are, not who you love, or how you identify” he said.

Martin Hiller, Marketing, Content & Creative Director, South Africa

Martin is passionate about inclusivity and diversity. As I&D Champion for South Africa, he is always looking for ways to bring more diversity into our workforce, speakers, content sessions and marketing. And he heads our EQUAL Africa show which focuses on promoting LGBTQ travel within Africa and globally.

Martin creates an open workspace where people feel comfortable to talk about how they feel and give their opinions without being judged. He welcomes different approaches to solving a problem and is open to different ideas and ways of doing things. He listens to and respects everyone’s point of view.

Relationship building is Martin’s great strength. He builds his colleagues up by encouraging them, guiding them and giving them the tools they need to succeed in their role. He is also good at building relationships with key partners for our events, drawing on his positive attitude and problem-solving abilities to ensure they are happy and well taken care of.

Cara Annett, Security Awareness and Culture Director, Global

RX is committed to building a diverse and inclusive business in which everyone can thrive, and Cara is one of our cornerstones in making this happen within our security team.

Cara has single-handedly created and built out our global team of security champions, connecting and supporting a diverse network of security enthusiasts who are working to increase security awareness and engagement across the business.  In doing so, she has created a strong community culture where opportunity is open to all, and everyone feels included.

Cara’s vision is for secure behaviour to be easy for RXers, and her goal is to deliver fun and useful security learning that keeps us all safe in our personal life and at work. But her concern for her colleagues’ wellbeing extends beyond her security role. In 2020 Cara became one of the first RXers to step up for mental health first aid training; and she remains a key member of our growing team of Mental Health First Responders who provide a first line of support for colleagues who are experiencing a period of adverse mental health or emotional distress.

Anna Maria Faust, Head of Conference Production, Australia

Conference platforms have traditionally been dominated by white male speakers, but the representation of women and people of colour is improving – thanks to people like Anna Maria.

In 2022, Anna Maria and her team made it their goal to attract a minimum 50% of female speakers across RX Australia’s conference programmes. Leaving no stone unturned they were successful in improving female representation in industries often dominated by males, especially within the mining and energy sectors.

In a first for All-Energy Australia, Anna Maria and her team also successfully incorporated a First Nations ‘Community and Local Energy’ panel and speakers into the 2022 programmes. The First Nations speakers included representatives from Indigenous Energy Australia, the Federation of Victorian Traditional Owner Corporations and Original Power and the session was packed to the rafters.

Anna Maria and her team also invited an elder from the Torres Strait Island Regional Council to speak in a Waste Expo Australia panel session around future waste strategies for local councils. This was another first for this event and a great opportunity for a remote part of Australia to have its voice heard amongst its peers.

Fleur Kearns, VP Human Resources, Singapore

Fleur has HR oversight for one of the most diverse portfolios in our business, covering nine different countries with many different cultures represented and languages spoken. She is a champion of inclusion for ALL employees from all backgrounds.

As we have rolled out I&D programming globally over the past year and a half, Fleur has worked painstakingly to ensure content has been accessible in local languages so everyone can participate. She volunteered to be the APAC content lead for the 2022 RELX Global I&D and ERG Conference ‒ Be You, BELONG ‒ and partnered with colleagues across RELX business lines to curate over eight hours of locally relevant content for our colleagues in the Asia-Pacific Region. Fleur's passion for inclusion resulted in our sourcing closed captioning for the conference in nine different languages, with the highest engagement from the APAC region in the history of this annual conference. She also serves as the Executive Sponsor of our APAC All-Dimension Diversity Committee.

Fleur sees and values our colleagues and our customers for their whole selves. She is a champion of inclusive experiences and practices and will play an increasingly important role in driving our culture of inclusion, both internally and externally, in 2023.
